TaskRobin is an email capture service. You forward, CC or BCC a message to a TaskRobin address, and within a minute it becomes a new record in Airtable, Notion, Google Drive or Obsidian, with the attachments, metadata and sender saved. Rules fill in fields, #hashtags in the forward add tags, and it keeps a contacts table up to date for you. It's well established, works with any email provider, and has an official Airtable extension.
InFiler is an add-in that sits inside Outlook and Gmail. You open a client email and act on it: attach it to the client or matter it belongs to, turn it into a task for a colleague, log the time, record the expense with its receipt, and file the documents in the right folder. When you hit save, each record is finished, in the app where it belongs.
A forwarded email is stored. A filed email is done. If you bill clients, track their matters and assign follow-ups, that difference is where your time goes.

1. TaskRobin puts the email in Airtable. The client work still happens there.
TaskRobin does capture well. The subject, sender, body, timestamps and attachments all land in your base, and your rules can pre-fill a status or a category. For an email log, a ticket queue or a lightweight CRM, that's often enough.
Client work usually needs more than a new row. It needs the email tied to the engagement it's about, a follow-up owned by someone with a date on it, the time recorded against the right project, and the expense billed back. Rules can't make those calls, because they depend on what this particular email says.
Here's the same email in both tools. A client writes: "Signed statement of work attached, along with the translator's invoice. Please add it to this month's bill, and let's kick off Monday."
With TaskRobin
You forward the email to your Airtable address, perhaps with a #clientname tag. A new row appears with both PDFs attached and the sender added to your contacts. Then you open Airtable to link the row to the client's project and create the kickoff task, open Harvest to enter the invoice as an expense and upload it again, log your time, and move the signed SOW to the client's folder.

2. Auto-forwarding from Microsoft 365 usually needs your admin
TaskRobin's hands-free mode relies on Outlook rules or mailbox forwarding that send messages to an outside address. On Microsoft 365, automatic forwarding to external addresses is blocked by default, and TaskRobin's own Outlook guide tells users who see "Your organization does not allow external forwarding" to ask their admin to enable it. Manual forwarding and BCC still work; the automatic part is what needs a security setting changed.
Rules also sort by sender and subject. They can't tell that a repeat client's email is about one project and not another, so someone still reviews and relinks the rows afterwards.
InFiler doesn't forward anything and doesn't depend on rules. It works on the email in front of you through Microsoft's own add-in platform, and it doesn't send your mail to an AI model. You decide what gets filed, where, and with what detail.
When TaskRobin is the better choice
- You work in Notion, Obsidian or Google Drive — InFiler doesn't connect to those today.
- You use iCloud, Yahoo, a personal Outlook.com account or any email client without add-in support. InFiler requires a Microsoft 365 mailbox for Outlook.
